Apostille Services in Mississauga: identify the destination, confirm the document format, check the official route.
Prepare your information, review the recipient’s instructions and keep a copy of your completed document.

Understand the route before preparing your documents

An apostille is an official certificate used in the international authentication process. The government competent authority issues it; Notaryspace helps you review and prepare your documents and arrange the agreed processing steps. An apostille concerns the relevant official signature or seal, rather than approving the substance of your document.

Tell us the destination, document type and issuing jurisdiction. Those details help establish whether you need notarization, which authority should receive your request, and whether the destination requires a further consular step.

Preparation by document type

Birth, marriage and other civil records

Ask whether the recipient requires a particular certificate format or a recently issued copy. Obtain the appropriate government-issued record first. Do not assume that a notarized photocopy will replace an original certificate.

Diplomas and academic records

Confirm whether the recipient wants a diploma, transcript, institution verification or certified copies. Bring originals if a certified true copy is required. Check whether the documents must remain sealed.

Powers of attorney and declarations

Obtain the overseas recipient’s required wording and witness instructions before signing. If Ontario notarization is required, arrange an in-person appointment. Ask separately about translation and destination-specific execution requirements.

Corporate and business records

Identify the legal entity, document issuer and intended use. Confirm whether the recipient wants a government-issued corporate record, a company document signed before a notary, or an accompanying declaration.

How apostille assistance works

  1. Get the recipient’s requirements: confirm the document format, language, number of copies and any recency requirement.
  2. Request a document review: tell us where the document was issued, where any notarization occurred, and the destination country.
  3. Complete preparation: obtain the correct originals, required notarial act or translation before submission.
  4. Confirm the processing route: agree on the competent authority, service scope, charges and return arrangements.
  5. Collect and submit: check the returned package and follow the overseas recipient’s delivery instructions. Keep attached certificates intact.

Ontario, federal or another provincial authority?

Ontario Official Documents Services is the starting point for checking Ontario eligibility. A different province or Global Affairs Canada may be responsible for other records. Sending the package to the wrong authority can delay your request.

Use the government’s jurisdiction and document eligibility tools before submission: Ontario authentication guidance and Global Affairs Canada requirements. The destination’s instructions still determine what you must provide.

Apostille or embassy legalization?

For a destination where the Apostille Convention applies, an apostille generally removes the additional embassy legalization step. For other destinations, authentication followed by embassy, high commission or consulate legalization may be necessary. Consult the relevant mission and the receiving organization before arranging processing.

Use the country search above to open a destination guide and its official links. If your instructions differ from a general guide, obtain clarification directly from the receiving authority.

Fees, timing and delivery

The CAD $37.95 attestation fee applies to attestation; it is not a complete apostille package price. Your quote should identify any notarial work, preparation or coordination service, authority charges where applicable, translation, consular fees, courier costs and applicable taxes.

Processing time depends on the competent authority, document checks, consular steps and delivery. Tell us your deadline before proceeding. Ask for current estimates after the document review; a requested deadline does not guarantee expedited government processing.

For an estimate, provide the document type, issuing province or country, destination, number of documents, whether you have originals, and preferred return method. Confirm the submission and return arrangements before sending originals.

Frequently asked questions

Does every document need notarization first?

No. Requirements depend on the document and the authority processing it. Some public records may be submitted directly, while other documents need a notarial act first. Check eligibility before arranging unnecessary work.

Can I apostille a document issued abroad in Canada?

A foreign public document generally needs the authentication route of its issuing country. A Canadian notarial act involving a foreign document is a separate question. Describe the document and recipient’s request so the appropriate authority can confirm eligibility.

Will a scan be enough?

A scan may help with an initial review, but processing can require original paper records or a properly notarized document. Do not mail a printout until its eligibility has been confirmed.

Do I need a translation?

Ask both the processing authority and the overseas recipient. They may have different language requirements. Confirm the accepted translator qualifications and whether a translator’s affidavit is required before ordering the translation.

Does an apostille guarantee acceptance?

No. The receiving organization decides whether your document’s format, contents, age and other details meet its requirements.

Can I apply directly myself?

Yes. You can follow the relevant government authority’s application process directly. Our assistance is available if you want help reviewing preparation and coordinating agreed steps.
